The methodology we use is based on an 8-week time line of weekly client meetings and specific deliverables. It starts with the sponsor’s sales order and after a kickoff meeting, then progresses through five distinct phases.
Phase I – Audience Recruitment – Identify and refine the sponsor’s business objectives to select a profile of the value-proposition matched audience they want to attract. This can be a combination of the client’s in-house database and as well as drawing on WebAttract’s considerable contact database. After invitations are developed, the recruitment of the audience using both email marketing and social media presence is started. ALSO, we send email reminders at pre-determined intervals leading up to the event as well as a voice confirmation to each registrant during the 2-3 days prior to the webinar.
Phase II – Invitation Development/Multi-Touchpoint Messaging – Work with the client staff to create compelling multi-touchpoint messages and utilize cost effective message delivery channels such as emails before and after the event.
Phase III – Message Shaping, Content Development, and Coaching of Dry Runs & Table Reads – Our production team includes a professional moderator who will collaborate with the sponsor’s team to develop presentation content that is “informational” as opposed to a “sales pitch”.
Part of this premier service includes a WebAttract PowerPoint template that follows our best practices for blocking out and timing the various segments and flow to further ensure the delivered content is relevant and maps to the “messaging and deliverables” highlighted in the email invitations. It is also used to assist our clients with using these best practices to align and to create a look and feel consistent with their branding guidelines.
The production team with the moderator, will provide ample time for table reads, assistance with critiques of dry runs and dress rehearsals so the content is visually engaging and most importantly, the presenters are confident in what’s expected to sound crisp, authentic and natural for the live event.
Phase IV – The Live Event: Sound Check – Go Live! – Debrief. On the day of the webinar, we start an hour before with a final sound check and review any last minute updates as well as walk through the slides and get ready to go live with all panelists and conference organizers.
At the top of the hour, the moderator will welcome the audience, set the stage and introduce the featured presenters by reading their bio and then turning over the presentation to them for their segment. After each panelist or presenter, the moderator will continue to facilitate the introduction of each new segment, and will ensure that the right pace is kept so the audience remains engaged and attentive.
The moderator will also manage the final segment for Q/A, where each panelist will be asked questions generated from the online audience, with a few “soft ball” questions prepared in advance to avoid any potential awkwardness from dead air during the transition from the last presentation to the Q/A. During the webinar, one of our producers will be providing all panelists with a peak at any questions that are audience generated so earthTV will be able to prioritize questions or eliminate those that they don’t want asked on air. This is all done via a private chat session that is only available to WebAttract and earthTV.
The moderator and an associate producer monitors the technology including having a backup plan in the unlikely event of a system issue, facilitates launching of online polls, cues up any questions and helps to ensure that the audience and presenters are well taken care of and able to focus on the content to have the best experience possible.
Post webinar, we like to have a 10 -15 minute debrief with the sponsors organizers, presenters and panelists to find out what worked, answer any questions and what we could do better for another webinar. Within a day, a personalized thank you email is sent to each presenter and panelist.
Phase V – Extending the Dialogue Post Webinar – The fifth phase provides the sponsor with statistical information customized for post webinar follow up and our optional V-prospecting services if elected (not included in this proposal)
